Give the programme a practical outline
List recurring activity dates, user groups and existing facilities on the property. Explain which periods are busiest and which are quiet. This lets the business discuss equipment and service based on the actual programme instead of treating every day in a season as equivalent.
Review changes before the next session
Tell the rental contact about added dates or altered access and ask how the agreement should change. Keep someone responsible when programme staff rotate. Pauses, renewal and final removal need confirmation; a break in activity does not automatically change the rental terms.
Equipment and service details to compare
Revisit site conditions
Changing ground conditions, maintenance work or different parking arrangements can affect access. Tell the supplier about material changes and ask for model-specific instructions where weather or storage raises questions. Do not invent a winterization procedure or add chemicals on the basis of generic internet advice.
Plan the last week as well as the first
Identify when visitors finish, when staff finish and who is available for collection. Request any extension before the agreed end. Confirm that barriers or gates remain accessible until removal, and report damage or servicing problems through the rental contact.
